The Executive Assistant (EA) will be responsible for performing a wide range of complex and confidential administrative duties supporting the Principal Investigator and Scientific Director, Dr. Ronai. As an integral part of the support system within the leadership team, the EA will be the primary point of contact and responsible for establishing procedures and/or systems to ensure the orderly and timely flow of business throughout the office. Highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced environment with short deadlines. Will demonstrate initiative, resourcefulness and problem-solving skills in applying their knowledge, skills, and abilities to the responsibilities, functions and underlying management structure. Great tact and diplomacy are required to maintain the confidentiality and integrity of the office.
The EA, supporting Principal Investigator and Scientific Director, Dr. Ronai in the Surgery Chair Department, is responsible to perform a broad range of clerical, administrative, and general office activities in a fast-paced environment.
Primary duties and responsibilities include:
- Schedule complex meetings and manage calendar
- Establish priorities and identify matters that need immediate attention
- Coordinate complex travel arrangements to ensure required information and materials are provided for the meetings
- Compiles financial and operational data from multiple sources to assist management in preparing and monitoring budget and workforce planning and/or other department reports. May prepare summary of information or data
- Type rough draft or verbal instructions, correspondences, and narrative
- Compose routine business correspondences with minimal edits
Qualifications
Requirements:
- High School Diploma/GED required. Bachelor’s Degree preferred
- 4 years of progressive professional office administration experience.
- Working experience supporting executive (preferably in the healthcare setting)
- Compose professional level communication, emails, letters, policy statements, procedure manuals and reports
- Able to organize complex statistical and narrative reports, charts and exhibits into a complete document suitable for publication and/or distribution.
- Interpersonal and communication skills with full command (verbal or written) of the English language.
- Prior success working independently, forging relationships, and managing multiple takes with minimal directions.
- High energy levels and tolerance of tight deadlines, time pressures and ambiguity.
- Ability to analyze qualitative and quantitative information for decision support.
- Manage competing priorities, while being extremely adaptable, flexible, and maintaining a positive work environment.
- Proficient with current Microsoft office applications.
